Finances and documents: Lexware, Qonto, Stripe

Where documents and transactions come from, and why revenue only counts once paid.

Three providers, three jobs

  • Documents (quotes, invoices, credit notes) are created in your invoicing software, usually Lexware Office (or Stripe). The CRM does not create documents of its own. It sends the data there, and the document number and PDF come back from there. Documents from Qonto are shown in the CRM for reference.
  • Bank: Qonto delivers your account transactions, hourly and on demand.
  • Online payments: Stripe delivers payments and subscriptions, also hourly.

All three run at the same time. Every document and transaction shows where it comes from.

Revenue only counts with the money

A deal in the pipeline is expected revenue, not revenue yet. Revenue only counts once the payment has arrived in finances. That's why the dashboard and analytics show both figures side by side: pipeline value and real revenue. Capital contributions and Stripe payouts to your bank don't count as revenue.

How it works

  1. Connect under Settings → Integrations (Lexware Office, Qonto, Stripe).
  2. A quote is created in the price calculator with "Create quote" or under Invoices. You choose Create as draft (still editable in your accounting software) or Finalize (with document number and PDF).
  3. When money comes in, Match payments in invoices assigns the transaction to the invoice, recognized by the invoice number in the payment reference.
