Company variables

Enter your company details once and use them in any text, including your own variables like a voucher code or opening hours.

You manage company variables under Settings → Company variables. Whatever you enter there, the CRM inserts into every text written for customers or for your team.

What there is

  • Basic set: 31 fixed fields, the same in every account. Company name, owner, phone, email, address, bank details, sender name and position, links to website, imprint, privacy policy and social media, payment terms.
  • Custom: under the Custom tab you add more, for example a voucher code, your opening hours or an emergency number. Name, value and, if you like, a group.

How to write them in a text

  • Insert a value: {{firma.telefon}}
  • Custom variable: {{firma.gutschein_code}}
  • Fallback text if empty: {{firma.mobil|on request}}
  • Other variable if empty: {{firma.mobil|firma.telefon}}
  • Text only if the value exists: {{#if firma.mobil}}Mobile: {{firma.mobil}}{{/if}}

You do not have to type this: every editor has an Insert variable button (curly braces). It lists all company variables with their current value and inserts the placeholder where your cursor is.

Where they work

Inbox (emails, replies, text snippets), campaigns (email, subject, letter, SMS, call task), automations (email, SMS, tasks, notes), invoice and quote email, booking confirmation and reminder (email, SMS, WhatsApp), signature, newsletter and roadmap templates.

Rules

  • Empty: if a variable has no value, the spot stays empty. If it is alone on a line of an automation or signature, the line is dropped.
  • Does not exist: a placeholder with a typo, such as {{firma.telfon}}, stays visible in the text and a note appears below the editor. In campaigns the step waits until the text is fixed instead of sending an email with a gap.
  • Renaming: the placeholder is built from the name when you create the variable and stays the same even if you rename it later.
  • Deleting: a custom variable can only be deleted when no saved text uses it. Otherwise the CRM shows where it is used.
  • Short names: in signatures and newsletters short names like {{telefon}} keep working. Everywhere else use {{firma.…}}, because short names already mean something else there, such as {{ort}} being the appointment location in bookings.
  • Text snippets: gaps in square brackets such as [Name], [Company] and [Phone number] are filled when you insert the snippet in the inbox. Unknown ones such as [Date] stay and you get a note.

Who can change them

People with the Account settings permission (owner rank, admin, account owner). Everyone else can see the values, because their emails and signatures need them, but cannot change them. Links are set by the account owner only.
